Step #5 : Sending additional documents

If you are reading this post, it is because you have been assigned an apartment and you would like to know what you should do. First of all, congratulations! You only have a few more steps to take before you move into your apartment.

Find all the information about the different steps to follow. This post is also for those who have a good feeling about the apartments you just applied for.

What documents should be prepared?

Below is the list of documents you need to prepare :

Send to the control room by mail once all the documents are prepared.


We have prepared a detailed explanation of each document for you. Click on each item in the list to go to the corresponding page.

 

#1 Dated and signed lease contract

Have you received a call or a letter from the control board ? In principle, you will find yourself in one of the two situations, depending on the agency.

  1. The lease contract is sent to you by mail.

  2. You must come to the office to sign the lease on site.

In any case, you will receive in your hands all the necessary documents to finalize the file. In particular :

  • Lease contract

  • Rental payment slip

  • Administrative fees payment slip

  • The day and time of the appointment for the inventory check

The last three points will be discussed later or in a separate post. Regarding the lease agreement, read all the terms carefully, paying attention to the following points:

  • The date of entry

  • The duration of the contract

  • The amount of the rent

  • The method of termination

  • Any specific clauses

Only date and sign if you agree with those presented. Don't hesitate to ask the board if you have any questions. Once signed, move on to the next item.


 

#2 Rental guarantee

Now you need to set up the rental guarantee. You have two types of guarantees :

  1. Bank guarantee

  2. Surety company

In the first case, make an appointment with the bank (BCGE, UBS, Crédit Suisse etc.) and follow the instructions provided by the bank. The amount of the guarantee amounts to 3 months of rent without charges.


In the second case, contact the bonding company (SwissCaution, SmartCaution etc.) in order to register for a guarantee that will be defined according to the amount of the guarantee. In most cases, you will unfortunately not have a choice because the real estate agency will ask you to establish the guarantee with a specific company.


LIFE HACK : If you have the choice, the bank guarantee is preferable because it is possible that the guarantee company will ask you for a compensation following the defects found during the inventory check.


 

#3 Certificate of 3rd party liability insurance

We strongly recommend that you go to Comparis to get a clear comparison between different insurers for the same insurance benefit requirement.

1. Go to the Comparis website. You will find the page below by clicking on "Insurance" and "Contents and personal liability" then "Compare & save".

2. Fill in all the fields and click on the "Results" button. Click on the "i" button if you need more information for a given field.

3. Compare the different offers and click on the "Request quote" button to apply for membership.


4. Finalize the registration for liability insurance by providing your lease contract.

The certificate of 3rd party liability insurance will be sent to you as soon as you have signed the contract.


 

#4 Proof of payment

This is a document that will be systematically requested in addition to the documents presented before. Three payments must be made before the inventory check :

  1. Payment of the first rent

  2. Payment of administrative fees

  3. Payment of the name plate fees (Mailbox)

The administrative costs are usually around CHF 200 in addition to the first rent.


To pay, use the payment slips provided by the real estate agency. However, payment by payment slip is only applicable to persons who already have a Swiss bank account.


For those who do not have a Swiss bank account, contact the real estate agency to find out the bank details such as IBAN and BIC, then make the bank transfer.


Keep the proof of payment in paper form.
